Say it in the chat.Lucy gets it done.

“My job is to make sure nothing falls through for lack of an owner, a date, or a follow-up.”

LucyHear her introduce herself

Read what she says

“Nine p.m. Someone in the group asks: “Who was supposed to call the sponsor?” Silence. Nobody knows. Sound familiar? Hi, I'm Lucy, and I live in your team's group chat. My job is to make sure nothing falls through for lack of an owner, a date, or a follow-up. You say it in the group. I create the task, with an owner and a date, and I follow up until it's done. Your team keeps chatting like always. I make things happen. With the volunteer team I work with, I created over a hundred tasks in two weeks. Try me for a month. If less than half your team uses me in three weeks, you don't pay. Apply for your spot below.”

Add her to your team's group chat. She turns what you agree on into tasks with an owner and a date. Then she follows up with each person until it's done.

Gala Committee 2026

Ana, Luis, Marta, you, Lucy

Example chat. Lucy turns a meeting recap into tasks and marks it done.

How it works

You talk like you always do. Lucy handles the follow-up.

01

Say it

Mention @Lucy in the group, or message her directly. She only replies when someone mentions her. Text or voice note, in English or Spanish.

02

She does it

The task goes into Trello with an owner and a date. The invite goes out. The draft is in Drive. She replies in seconds and tells you what she did.

03

She follows up

Every morning, each person gets their own list. Every evening, the group gets a recap. Lucy sends the reminders, so nobody has to chase anybody.

Anything sensitive waits for your OK: deleting, publishing, or emailing your list.

Who it's for

For people who give their time to a cause, on top of a full-time job.

Everyone on the team has a different schedule. Lucy works around all of them.

12:30 PM

The lunch-break helper

Helps out from his phone at lunch. Has ten minutes, tops.

He sends a voice note. Lucy turns it into a task.

5:45 PM

The one with two jobs

Checks in on the way from one shift to the next.

Her list is already waiting. Only her tasks, nothing else.

10:00 PM

The sponsor lead

Works on sponsors after putting the kids to bed.

The draft emails are ready. She reviews them and hits send.

Nobody has to be online at the same time. Lucy keeps everyone on the same page.

Composite portraits, not real people.

The pattern

Every committee has the same meeting twice.

Once to agree on things. And again, two weeks later, to find out nobody did them.

Meanwhile, a sponsor waits for an answer. And the team gets tired.

01Agreed in the meeting.

02Lost in the group chat.

03Remembered the night before.

04And the work lands on whoever has the least time to spare.

Your team cares. But follow-up is nobody's job. Now it's Lucy's.

Her name

Why she's called Lucy

Last year, Casa TechMex had Lucy, a PMP-certified project manager. She made sure everything went according to plan.

The team didn't lack commitment. It lacked time. Everyone had a job, a family, other projects. Lucy kept things from falling through.

This year, Lucy couldn't take part in organizing the event. And nobody on the team had time to cover that role.

That's how LucyPM was born: to do what nobody else had time to do.

Already have a project manager? LucyPM becomes their right hand.

And yes, the name is for her.

Her L became our check mark: from Lucy to done.

A day with Lucy

The meeting ends. Lucy starts following up.

An example day, built from real moments at Casa TechMex. Times are set with your team.

Casa TechMexmarks a real moment

8:00 AM

Everyone gets their own list.

A private message to each person, with just their tasks for today.

9:00 AMCasa TechMex

The meeting starts with an agenda.

Lucy sent it to the group the night before: what got done, what's stuck, what to decide.

9:20 AMCasa TechMex

“Lucy, add that task for me.”

Someone says it out loud during the meeting. Afterward, it's a task in Trello and a line in the minutes.

10:30 AM

Chat turns into tasks.

Someone writes “@Lucy I'll handle the venue.” It becomes a task with an owner and a date.

12:40 PMCasa TechMex

An idea on a walk becomes a task.

Someone gets an idea while out walking. One voice note to Lucy, and it's a task with a date.

4:00 PM

The next meeting, booked.

A calendar invite with a Google Meet link and the agenda attached.

6:30 PM

The day, recapped.

What moved, what's stuck, who needs a hand. One message to the group.

Anything you'd ask a project manager, ask Lucy.

Your team messages her like any teammate. She does the work in the tools you already use. Then she tells you it's done.

Things teams send her

  • Turn today's minutes into tasks
  • Book the sponsor call for Thursday
  • Remind Luis about the caterer quote
  • Research this sponsor before we call
  • What's still open for the gala?
  • Make Friday's Instagram post
  • Find three venues near downtown, with sources
  • Send me the newsletter test

Tasks with an owner and a date

She creates, assigns, moves and closes Trello cards. The owner is on the card, not in a message nobody rereads.

Meetings, booked

Calendar invites with a Google Meet link and the agenda attached.

Minutes that turn into tasks

Every agreement from the meeting becomes a task with an owner.

Posts with your brand

She makes each post from your brand templates. She fills in the template. She never makes up the design. Once you approve it, she schedules it on Instagram and LinkedIn.

  • Instagram
  • LinkedIn
  • Waits for your OK

Newsletters wait for you

She drafts it in Brevo and sends you a test. Nothing goes to your list without your OK.

Hand her the heavy research

She comes back with results and sources, ready before the meeting.

The meeting agenda

The night before your weekly meeting, she sends the recap and the agenda.

Documents, drafted and shared

Letters, lists and summaries in Google Docs, Sheets and Drive.

  • Voice notes

Send a voice note. She gets it.

  • Speaks your team's language

English, Spanish, or both in the same chat.

Roles and accountability

Every task has an owner. Every person knows their role.

Lucy follows your team's structure. She doesn't replace it.

No owner?

It goes to the “No owner” list. Lucy flags it in the daily recap.

Two levels, set by you

  • Leadership

Creates and assigns tasks. Sees money, sponsors and people topics.

  • Team

Moves and closes their own tasks. Asks Lucy for anything.

Who does what (RASCI)

Responsible. The task owner. One name per task.

Accountable. Leadership. They approve and decide.

Support. Lucy: reminders, drafts, research, follow-up.

Consulted. Lucy asks the right person before acting.

Informed. The whole team, through the daily recap.

Conflicts between leaders go to the person in charge. So do changes to dates, venue or budget.

A volunteer board with no project lead. Lucy took that role.

Casa TechMex 2026 is a tech conference in Austin. A volunteer board runs it. Everyone had too much on their plate. Nobody had time to follow up. On September 21, 2026, LucyPM joined the organizing team.

Inventa works with Casa TechMex and is part of its volunteer team.

The Lucy Rules

Built so the sensitive stuff always waits for you.

The rules that matter aren't instructions she might forget. They're built into the system.

What Lucy does on her own

  • Creates, assigns and closes tasks
  • Books meetings and sends invites
  • Drafts and shares documents with the team
  • Sends reminders and daily recaps

What waits for your OK

  • Deleting anything
  • Publishing to social media
  • Emailing your list
  • Contacting anyone outside the team
  • Sharing files outside the team

i.

Only your team

She only takes requests from the people you register. Never from strangers.

ii.

Forwarded orders don't count

At Casa TechMex, a message came in pretending to be a board member. She didn't act on it. She checked with him directly.

iii.

Her own identity

Her own Trello user, calendar and email. Every action is logged under her name.

iv.

A record of her edits

Every change she makes in Google Docs, Sheets and Drive is logged. The old version is kept, so it can be undone. And she always says she's an AI.

Questions teams ask us

Do we need to install anything?

No. Lucy lives in your team's chat. Message her directly or mention her in your group, like any teammate.

Does it work with iMessage or other chats?

Today it works on WhatsApp. If your team uses another chat, tell us in your application.

Is Lucy a real person?

No. LucyPM is an AI, and she always says so. She's named after a real project manager.

Does she read every message in our group?

She reads the group's messages, so she knows what was agreed. She only replies when someone mentions her. We introduce her to your group, so everyone knows she's there.

How does she join our group?

Through a WhatsApp number run by Inventa. You add it to your group like any contact. Your team can also message her directly.

Can she take our meeting minutes?

Yes. During setup, we agree on how your meetings reach her: a recording or the notes. She writes the minutes and turns each agreement into a task.

Does she post on our social media?

Only with your OK. She makes posts from your brand templates. Once you approve, she schedules them on Instagram and LinkedIn through Esbozo.

Do we need Trello or Google Workspace?

Not today. If your team only uses chat, we set up a simple task board for you. Your team never has to open it. Lucy keeps it up to date.

What if she gets something wrong?

Anything you can't undo waits for your approval: deleting, publishing, emailing your list. Every change is logged. In your first 30 days, our team checks her work every day.

Who can see our information?

Your team, and the small Inventa team that sets her up and checks her work. Our AI provider processes your messages to write her replies. Each organization gets its own Lucy, in its own space. She only reaches the tools you connect.

Is our data used to train AI?

Inventa doesn't use your data to train AI models. Your files stay in your own accounts. If you stop using Lucy, we delete your team's Lucy workspace if you ask.

How much does it cost?

A flat monthly price per team. It depends on team size and the tools to connect. First teams get launch pricing. We share it on the call, with no commitment.

What happens after the first 30 days?

If it works, you keep Lucy at your launch price, locked for 12 months. If it doesn't, you walk away. There's no contract.
